Hi guys,

Might seem counter-intuitive but as I hire and move more people in to an office, I'm finding I need more collab' software to manage it.

 

This goes out to the agency guys here, what software do you use similar to Basecamp to manage projects, files and task tracking?

 

I've been looking at this - https://duetapp.com/ - if any one has experiences of it or similar I'd be interested to know.

 

As ever, thanks in advance.

Having a sniff around activeCollab looks very good for £300.

 

I've sent them a few questions.

 

There is literally a mountain of these tools out there!

It will be great if there is an application that has the features of:

 

InVision (designs sharing, clients can also leave comments on the design)

Dropbox (file sharing)

Wryke (project management - tasks)

Go to meeting (for virtual meetings)

Skype or just any instant messenger

Invoicing

 

I have been looking for something like this, but no luck so far.

It's a minefield. I've literally found a few I like but all of them having their failings.

 

ActiveCollab is great, but complex, it's also ugly... really ugly!

 

DuetApp is great looking and effective, but it lacks the email integration of ActiveCollab.

 

Gah!

 

I don't want Saas or 'cloud', I want ownership and control of my own data forever - not monthly!

I did think about it, even discussed it with my previous developer! It's a huge amount of work, though and we're both busy right now, but definitely good idea.

Okay so I've been hacking ActivCollab CSS and you can make it look much better - shame you good money for something then have to spend time 'breaking' it to make it look good!

 

One welcome feature is per project email addresses, so everyone in the project can add a task or discussion simply by emailing, this means the client has 'no excuse' for not using the PM tool. It also has excellent team reporting tools, so I'd be able to see activity and task balance to find any imbalances and the like. That's a nice touch.

 

Anyway, more research to be conducted today.

Leaning towards activCollab with a few extras ~£500. It seems to do what I need, also allows email direct to project so clients can interact without logging in (or caring).

 

We move in to our new office in just 2 weeks and I'm trying to work to a near 'zero email' setup. Emails are so inefficient for most tasks, particularly those that require even the simplest form of collaboration.

 

 

I literally serve hundreds of emails a week, that's ridiculous.

There are a few things that I use and really like. For task based projects, I really prefer Trello. Its free too.

 

If you want something like basecamp try Freedcamp. Really easy to use but the space they give you is really low so not good if you need to approve artwork.

 

The one I use for normal clients is Pancake. Once you buy you install it on your own server so space isn't an issue. Really helpful on the business end like getting paid (even an option to send files automatically when they pay), invoices, tasks, client portal.. Ect. Its a bit expensive but you get a lot for it and cheaper in the long run than base camp.

 

These are the onces I use. I once tried activecolab or whatever and found it really lacking.

I've used basecamp, had a play with Trello and actually currently use Pancake for invoicing.

 

I wouldn't use Pancake for projects or anything else, for me it's purely an invoicing tool.

 

From what I can tell activeCollab used to be lacking but now it's fully featured and to be honest I'm struggling to find something it can't do.

 

I also don't want cloud or hosted, I want self-hosted so we have 100% control over everything and all data. This is crucial.

We use Trello and Mite. Things are running pretty smoothly so far using these tools.

We've assessed a dozen tools now including Trello, Asana and Teamwork. Trello was too simple for what we needed, Asana and Teamwork felt like extended versions of Basecamp but still I personally couldn't get away from my cloud hosted dislike, especially for this level of data.

 

Whilst not as attractive I can see anything else beating activCollab for features and what we need, especially the email integration features and self-hosting.

 

So last night I bought a VPS, SSL and activCollab, with a few extras, let's hope it's worth the £1,000 investment and annual bill for VPS! I'm pretty confident it will be... I'll update this point in time.
