Overview

We are a small team of around 20 people, and I’ve created an email signature where the top section remains static while the bottom half can be updated as needed. The goal is to allow remote updates to the image and link without requiring each team member to manually change their signature.

To achieve this, I’ve hosted the email banner image on our website server using a generic filename, so it can be replaced when updates are needed. Additionally, I’m using a Tiny CC link to manage redirections when necessary.

Problem

Despite updating the image on the web server, individual PCs and Macs are not displaying the new version. Outlook and Mail seem to be caching the old image, preventing it from refreshing automatically.

I've tried several HTML attributes like moz-do-not-send="true" and nosend="1" to stop the image from embedding, but they don’t seem to be working.

Question

When setting up the signature in Outlook/Mail, we currently open the HTML file in a browser, select all, and paste it into the signature setup box. Could there be a more effective method?

I've attached an example of one of the HTML files. Does anyone have a solution to prevent caching and ensure the updated image appears correctly?

I did something similar a few years ago, so hopefully it still works!

If you're using the desktop version of Outlook:

1. File
2. Options
3. Mail
4. Then hold Control and right click Signatures

This opens the folders where your signatures are stored.

You'll then be able to open up the HTML version of your signature and manually change the image link to the one you want to update. Save that file.

If you edit things later in the normal Signatures bit, it'll overwrite your work
