Website Brief for Entertainment local

Country:
Constructed, hosted within the UK, I am based within the UK on the South so the closer the better but not essential.

Scope:
New Build from brief, graphics & logo required, features created or sourced, payment system integrated, back end CMS system with client login, viewer login and administrator(s) login. Report export facility of statistics and monthly / annual figures, new accounts, customer info etc.

Size:
current demo of my idea consists of 16,500 pages roughly for the bare bones, each customer listing would add an additional page to the site and further listings such as events and offers would also create an additional page per listing initially.

Time Frame:

demo pages so I can present to customers ASAP, official launch date, latest January 2010 ideally ASAP.

Budget:
estimated between 2-5k depending on further / unforeseen overheads with features and merchant payment system account costs etc.

Existing URL:
Demo idea is online at www.yourpassport.co.uk (No back end here just the very basic mock up of the break down process and pages required but layout and features are completely rework able and totally open for changing and other suggestions.

Features:
1) embedded search,

2) bookmark facility,

3) contact forms

4) update subscription

5) visitor account login,

6) customer account login and features to include viewing of previous orders, booking of further items, export of invoices in PDF format etc,

7) Administrator to have access to view a customers orders old and new and to also be able to easily (WSYWIG TYPE) update customers personal details and listing information etc, be able to add or remove images; text or any other part we felt was not suitable for the site,

8) A back end payment system that the customer can easily use to book space once signed in and a payments page for the administrators so we can take payments over the phone for outstanding invoices etc.

9) Carousel flash features,

10) Flash UK map of counties that is clickable and url linked to relevant content,

11) Feature for customers to be able to create own listings and upload images and preview before submitting.

12) All listings must be signed off / checked before going live by an administrator.

13) Staff / rep login with restricted access and capabilities to add, upload listings and able to use the payment system as well, this needs to be regionalised so each rep can only add, update or amend listings within their region.

14) Fresh vibrant, funky style and theme that is entertaining and interactive.

15) Live chat pane or page so people can interact live,

16) W3C Compliant, Optimized, SSL certified payments process.

17) Customer rating facility so the viewer can rate their experience and leave comments on the listing page.

18) Main gallery of submitted / uploaded viewer images of their experience, also separate image gallery on each listing page if desired by the client.

19) Download facility for vouchers etc in PDF format

20) Auto placement of advertising once selected and payment made and successful account setup and information submitted. This needs to have an expiry system that remove the listings once expired and places generic filler advert until new advertiser purchases.

21) Exportable list of customer’s listings that are due to expire in the next 30 days etc.

22) Built in blog feature so people can discuss and plan events etc.

23) Visitors can purchase tickets, make bookings online without an account if required.

1) Possible future addition – video wall



Further Notes:

I quite like the horizontal feature on the home page of the BBC iplayer website. This is a big project and may need to be broken down into segments but depending on quotes and estimates we will see.

wow,

busy morning so far.......

looking promising with some possible solutions and one further potential as well.

Just to give viewers an update:

I would ideally be looking at a complete package, hosting, Certificates associated etc, to give you some idea on the feature front / flash elements see examples below.

I will run over the brief tonight and tomorrow to check for anything i have overlooked, if no questions come in between now and then i will be looking to set the brief as complete to the best of my knowledge.

Hi All,

Ok i have read the brief through and can not see any immedaite areas that i have overlooked, i hope you have got the main jist of what we are looking to acheive and require.

As i menitoned before please factor in an acceptable leniancy budget for oversights as well.

But i am happy to close the brief at this stage and if all involved could now digest, evaluate and email me quotations please to s.willett@smwgroup.co.uk in a word or PDF format (so i can print and read) explaining with as much detail regarding what we would receive for the proposed quote.

I would like to have these with me by Friday (5th June) if possible so i can digest over the weekend and look to make a conclusion by the following Friday (12th June), I understand some of the parties quoting have engagments between now and then and i will be holding out for all to supply their final quotations before making my conclusion, if all goes well with the business plan and forecasts we should be able to confirm the sucesful quote on or around Friday 12th june to then take this to the next stage of talks and information.

I look forward to receiving your quotations and speaking with you all shortly.

I have salespeople work for me at 10% commision and I certainly would not mind having the same arrangement with you. That is, all work you send my way, you would receive 10% of the cost.

Sounds like the norm is aound 10% then, to give me a rough idea I have a builder looking for a 5-10 page site, simple gallery, contact form, feedback / testimonal form. and the normal pages (Home, about, contact, gallery, testimonials, capabilites, etc)

what would be the cost for a simplistic site like this but if possible with the function of being able to amend the text himself and upload the gallery images himself as well and plus the testimonials to auto place if possable?

CMS is likely to be the best option (this is where it can get expensive) but it is also possible to do it with a normal xhtml site, assuming it is coded properly, although i do believe CMS is better.

We should be able to help you with this but it is hard to draw up a proposal for you with out meeting and running through your ideas in closure detail. You said that you're located in the South. The main project? or the Builder's site?


The main project is now closed for quoting except the last couple of quotes i am expecting within the next 24 hours rougly, but they have been involved from the start. Sorry just if i leave this open i will continue to be inundated with possabilities and will never get round to moving any further.

Just to keep all involved up to date, I have received all quotes and information required at this time, I am now franticly trying to get the final figures and forecasts together for the meeting on 2nd July 2009 at 10:00am which will highlight any further information we think will be required.

Once this has taken place I aim to get the final sign off hopefully if all goes to plan within a week of this meeting.

Appologies for the delay and I will keep you all posted as the conclusions are made.

I will notify all who have kindly quoted accordingly either way, good or bad.
